The organisation is an equal opportunity employer currently seeking to recruit competent persons to fill the following positions: Executive Assistant -1 position based in Kampala Under the direction of the Country Director, the Executive Assistant provides efficient and responsive administrative, organizational, and logistical services to the Country Director and the Country Management Team, helping to manage and prioritize their time. Specific Responsibilities - Manage and maintain the Country Director and CMT's diary\calendar Ensure timely travel arrangements, including air tickets, visas, travel insurance, and vehicles are managed effectively for Plan staff and visitors Ensure timely travel arrangements, including vehicles, air tickets, visas, travel insurance are managed effectively for the Country Director and country Management team
- Schedule meetings and draft correspondences as directed on behalf of the Country Director and Country Management Team
- Make appointments for visitors to meet with CD and other CMT members
- Develop and maintain an efficient records management system Pro-actively co-ordinate and maintain a record of all incoming / outgoing
- Organize high profile visits.
- Ensure that adequate and effective administrative and logistical support is given to the CMT
- Prepare minutes during extended Country Management Team meetings and submit them for approval
- Consolidate Country team briefing submission
- Work with Administration to ensure that International workshops organized by Plan Uganda are handled efficiently and effectively
- Keep updated of all current issues affecting the Country office and Plan Uganda
- Maintain contact with the Country Director when traveling to ensure that appropriate action is taken on pending issues.
- Maintain an up-to-date Country Calendar for all important deadlines and important upcoming events.
- Manage the first aid kit.

Requirement: - A bachelor's degree in Office Management, Administration or a relevant field Computer literate in MS Office, Excel, Power Point, Access and the internet search
- Ability to be proactive, prioritize, multitask, and perform efficiently and effectively with individuals in a fast paced working environment
- Experience and training in Customer Care
- Ability to handle sensitive and confidential information with discretion
- Attention to detail with excellent organizational skills
- Excellent communication skills (written, verbal, listening, and presentation) Ability to manage basic accounting assignments
- Warm personality with a good sense of humor.
