JOB OPPORTUNITIES
Management and Development for Health (MDH) is a national NGO dealing with various public health issues. Currently, MDH is providing care and treatment to patients with HIV/AIDS, in Dar es Salaam Region. It is now looking for competent persons to fill the following job positions:

FACILITIES OFFICER (1)
Dar es Salaam Chief Operations Officer

Responsibilities

• Monitoring daily operations of all plumbing. ventilation, and electrical systems;
• Managing all preventive maintenance contracts, activities and repairs:
• Establish construction / renovation project specifications, review and evaluate contractor bids, and evaluate costs and proposals for all major repairs and renovations:
• Oversee all phase of renovation work to ensure that design specifications are met in a timeline and efficient manner:
• Serves as the primary point of contact for contractors performing renovation and repair projects at MDH facilities, including reconfiguring offices through drywall partitions and refitting utility connections, refurbishment of buildings to house additional offices to accommodate the changing requirements of MDH, parking lot and access road paving projects, security upgrades, and changing entrance and exit portals within facilities.
• Advises the management of any deficiencies in the contractor's work or required modifications to the contract resulting from unexpected obstacles encountered. Inspects work performed on MDH facilities to verify that work has been completed to specifications.
• Ensure compliance with local and other applicable building codes, regulations and guidelines:
• Manage inspections, permit filings and renewals and other related documentation:
• Assist MDH Management team with space assignment and cost allocation;
• Develop facility-related SOP and safety procedures for use by building occupants:
• Manage inventory system for facility-related supplies and equipment
• Supervising contracted security staff at MDH office and parking area. Performs routine checks of MDH property and facilities to ensure security procedures are being followed. Recommends improvements to procedures or corrective actions where appropriate.
• Review proposal from vendors and make appropriate decisions and recommendations related to facility maintenance, repair projects and renovation projects. May also be called upon to assist with supervision and/or monitoring of renovations and facilities operation of Harvard PEPFAR subcontractors in Tanzania, many of who are renovating health facilities for provision of HIV/AIDS care and treatment. Works closely with the Administrative Coordinator on matters related to building management needs.

Job summary: Under the direction of the Chief Operations Officer, Facilities Officer is responsible for overall leadership and management of the MDH -LLC office facility. He/she is responsible for security, exterior and interior building maintenance and repair. renovation and alteration, engineering, and overall physical plant operations of the MDH offices in Tanzania, and for protecting the employees and visitors at the premises by maintaining a safe and clean environment.

Required qualifications
• College degree in engineering or its equivalent
• More than 5 years experience in managing facilities and related functions
• Knowledge of Microsoft Office (Word & Excel) and familiarity with computer basics is preferred.
• Ability to communicate both verbally and written with customers and other employees both one-on-one and during meetings.
• Knowledge of supervisory techniques to manage, motivate and train employees.
• Ability to prepare reports and present information to customers and management as required
• Ability to pay attention to details and solve problems
• Ability to multi-task and manage priorities

RECEPTIONISTS (2)

Dar es Salaam Facilities Officer

Job summary : This position is responsible for managing front desk operations and managing incoming visitors, communication in a professional manner and portraying the image of the organization.
Responsibilities
• Answer all incoming calls and handle caller's inquiries accordingly
• Receive incoming calls and direct them to respective officers
• Take and relay messages
• Professionally receive visitors entering organization.
obtain all necessary information from them and direct them to appropriate destination.
• Type office correspondences and other communication as per directive
• Facilitate easy and prompt communication between MDH and the outside world

Promote and ensure proper use of communication channels, mindful of avoiding unnecessary costs
• Perform general administrative and clerical support activities
• Handle the incoming and outgoing mails and ensure their proper distribution
• Assist in preparation of meetings, conferences and telephone conference calls
• Build up a strong and well organized registry
• 'Tide up and maintain the reception area
• Perform any other job related duties as required

Required qualifications

• High school (Form 6) certificate with basic training on telephone operations
• Certificate or diploma in secretarial duties would be an added advantage
• A minimum of 3 years experience in receptionist/telephone operator activities
• Knowledge and experience of administrative and clerical procedures
• Knowledge and experience of computer and relevant software applications
• Knowledge and experience of customer service principles and practices

3. PERSONAL SECRETARY TO THE CEO. ( 1 )

Location: Reporting
Dar es Salaam Chief Executive Officer

Job summary: The Personal Secretary to the CEO acts as an assistant to the Executive Coordinator to make sure there is smooth running of CEO's office.

Responsibilities:
• Screening telephone calls, enquiries and requests, passing them to the CEO when appropriate, provide timely. effective diary management by prioritizing and organizing meetings with internal and external stakeholders in consultation with the CEO.
• Resolve conflicting demands upon the CEO's time from reporting staff, within organization and representatives of internal and external stakeholders
• Receive visitors for the CEO and deal with them as required.
• Dispatch letters and messages from the CEO's office to different destinations
• Plan ,organize and manage meetings and conferences for the CEO
• Receive all mails for the CEO. sort them and deal with them as required
• Reply to different office mails for the CEO and have him sign them.
• Prepare brief notes presentations and speeches for the CEO
• Perform general clerical duties including but not limited to photocopying, faxing, typing and scanning.
• Set up CEO's travel and accommodation arrangements as required
• Maintain the general filing system and file all correspondence
• Perform other related duties as required

Required Qualifications:
• Diploma in Secretarial Services or Business Administration in related duties
• Shorthand of 100wpm
• At least 3 years work experience in same similar job
• Fluent in English and Kiswahili and ability to communicate effectively in both languages.
• Solid computer knowledge including skills with Microsoft word, PowerPoint, access and excel.
